How to prepare your first bulk used cooking oil load for sale
Prepare your first bulk UCO sale with a practical checklist for inventory, source records, quality information, loading, freight, and payment terms.
Before moving your first bulk used cooking oil load, agree with the buyer on what is being sold, how it will be measured, where it will go, and how settlement works. A full storage tank alone does not establish an accepted load or a confirmed purchase.
This guide is for U.S. collectors selling accumulated oil. It is a preparation checklist, not a universal material specification or a substitute for the requirements in your buyer's agreement.
1. Describe the inventory you actually have
Record the storage location, oil type, available quantity, measurement unit, and date it should be ready. Explain whether a gallon estimate comes from a tank reading, collection records, or another method. If you only have an estimate, label it clearly.
Do not use an approximate gallons-to-pounds conversion as a settlement weight. The accepted measurement method belongs in the transaction terms. Keep current inventory separate from the amount you expect to collect in a future month.
2. Organize source and storage information
Prepare the records you have for where the oil was collected, collection dates, storage containers, and any transfers between tanks. Ask the buyer which source documents it requires for your transaction. Keep claims about origin and material condition consistent with the records you can provide.
Tell the buyer whether the material is raw, settled, filtered, or otherwise processed, and explain what that description means in your operation. A label such as “clean oil” does not replace agreed quality information.
3. Discuss quality before scheduling transportation
Share available test results, including what was tested, when, and which inventory the sample represents. Ask about the buyer's sampling process and acceptance criteria. Free fatty acids and moisture, impurities, and unsaponifiables are common quality discussion points; a limit from one buyer should not be treated as a universal industry requirement.
Disclose known water, solids, or other contamination concerns. Keep UCO separate from motor oil, cleaning chemicals, and grease trap waste. Do not mix questionable inventory into another tank to make it appear acceptable. Ask the buyer how to handle uncertain material before committing freight.
4. Confirm loading and transportation responsibilities
Describe the actual loading location and access arrangements. Tell the buyer about the storage setup and any restrictions that may affect the planned vehicle. Confirm who provides the loading equipment and who is responsible for coordinating with the site.
Before dispatch, agree on who arranges and pays for freight, the pickup or delivery location, the scheduled window, and what happens if loading is delayed. Do not assume a quote includes transportation simply because the buyer can discuss pickup options.
5. Review the written commercial terms
Confirm the rate and unit, how accepted quantity is determined, any quality adjustments, and how a disputed or rejected load is handled. Identify any costs that remain yours. Compare your expected net proceeds after those costs rather than focusing only on the quoted rate.
Confirm the legal purchasing party and the payment trigger. Keep agreed contact details and transaction records accessible for the shipment. Where a document is required, ask which party prepares it and when it must be available.
6. Know what happens after weighing and testing
Ask how you receive weight and quality information, how settlement adjustments are explained, and whom to contact with a question. Reconcile the final settlement with the agreed terms and keep the supporting records with the sale.
Zeitco sends same-day wire transfers after weighing and testing are complete. Discuss the agreed process before scheduling your load. Bank processing can affect when a sent wire becomes available in your account.
